Subject: Upcoming Fermilab GDE meeting planning

Dear EDR Project Management Team:

Preparation for the Fermilab GDE meeting – 22.10 to 26.10. 2007.

The Kick off meetings are well along – thanks to all for putting them together.

We have fairly high expectations for the upcoming meeting. The purpose of this note is to indicate the most important of these:

1)       we would like to collect draft work package descriptions, including proposed institutional assignments, by the last day of the meeting. There is a meeting at the end of the first day, to which all Group Leaders should come, where initial work package information should be available and where we can have a general question / answer session. (Include management-related tasks as a work package). Be prepared to talk about the manner in which the community was canvassed and expressions of interest were solicited.

2)       As part of the meeting itself, be prepared to talk about the agenda and goals for your parallel session, including joint sessions (usually done).

3)       we would like to begin planning for the next set of multi-day group-by-group meetings, to take place in the coming winter and spring. Please be prepared to describe how best to organize these and an appropriate charge.

4)       we would like to review your plans, leading to the next GDE meeting (Tohoku, Sendai – March 3, 2008), for developing the EDR schedule. The EDR schedule, with resource information, will be published at that meeting.

John Carwardine, Tetsuo Shidara, and Frank Lehner will help with the collation of your work package descriptions.

Thank you,

Marc Ross, Akira Yamamoto, Nick Walker
