Minutes of Speakers' Bureau (SpB) Meeting 30/8/18

Attendees: V. Boudry, W. Ootani, F. Simon, R.P. Feedback received from Marina 

- Proposals to revise the activities of the SpB were presented. The proposal were explicitly welcomed by Frank, Wataru and Marina (by Mail). Despite of this positive feedback some time has still to be allowed such that all SpB members can digest the proposals. The proposals increase the workload and also the level of responsibility of each SpB Member. This change the conditions for the current members, which are therefore asked to explicitly express whether they would like to remain on the Board (What concerns me I am happy to continue with the current Board). It is planned to present the revised "modus operandi" of the Speakers' Bureau at the upcoming CALICE Collaboration Meeting 

- In her feedback Marina pointed out that the SpB should explicitly encourage the write-up of conference proceedings (This goes beyond the job of just collecting these proceedings, if they exist)

- The idea of having t0 talks at the beginning of an editorial process of a note or a paper was discussed. This point may require further debate in e.g. the IB. In case this will be introduced, Frank suggested to reserve a fixed slot for this, like "These kind of talks happen always on Mondays at 3pm CEST".

- In the meeting it was pointed out that speakers, in particular for major conferences, have to be selected earlier than this is the case now. A remedy to that are the two SpB phone meetings that will be arranged between the collaboration meetings. It is the charge of the SpB Chair to call for these meeting early enough or to ensure the corresponding communication on time. 

- We (i.e. Frank and Roman) are still figuring out the options and implications for/of a) putting our CAN into Spires and b) using a more "professional" system of managing our publications like CDS. We have asked for a meeting with CDS Experts during next week.

Side remark: Alternatives are evaluated as e.g. the CNRS HAL System. Without going into the details, recent instructions on how to use it render it unlikely that this will become the system of choice (Thanks to Vincent for having pointed this out). Stay tuned nevertheless.
