Dear Colleagues, Here are the minutes of the 1st prepatorial meeting for the testbeam workshop. Present: F. Sefkow, Y.Li, V.Boudry, J.Hauptmann, Kiyotomo Kawagoe, M. Vos, S.Yamada, R.Lipton, T.Nelson Excused: F.Gaede, N.Graf, M. Wing The slides for the meeting can be found under http://ilcagenda.linearcollider.org/conferenceDisplay.py?confId=3609 The dates for the workshop will be finally the 3.11.09 - 5.11.09. After a discussion among the local organizers the registration will be opened by middle of june, rather than beginning as anticipated at the prep. meeting. For the meeting venue and two seminar rooms are booked for the whole week, such that there is the possibility for parallel sessions and satellite meetings. In principle the workshop should only contain plenary sessions. I think it is fair to say the two major aims of the workshop were endorsed at the meeting 1) Help the detector R&D panel to monitor and also consult the testbeam efforts in the coming years 2) Possibility to raise our voice and initiate infrastructural developments at testbeam sites (Citation F. Sefkow) I would like to add a third topic which goes together with the first two: 3) Synchronisation of testbeam programs and give the efforts a common face. A nice example is the slide 2 of Marcel's presentation. I am not sure that everybody is aware that all these R&D projects are for ILC purposes. The first meeting has also shown that there are several common points of interest between the groups working on Silicon based detectors. Here the workshop may help to foster further collaboration. The workshop should address both, the large scale testbeams, but also smaller testbeam programs with single slices or solid state detectors. Again an overview of the various needs might help for example for making common requests for beam time (Without creating too much of an overhead). An important point will be also the organisation of combined testbeams. The committee members agreed that this is a topic which needs a very careful preparation. Felix has agreed to discuss this issue also with M. Demerteau at the next occasions. The second prepatorial meeting will be at the beginning of July. Exact day to be announced. There the Software/DAQ group may give an overview on the s/w and DAQ system used in the testbeam projects which were presented in the first prepatorial meeting. Yulan will make an update on the TPC activities. A first "agenda skeleton" for the workshop should be ready until then based on the input of the first meeting. Futher agenda issues may follow.
